Kakitangan Review: Modular Malaysian Payroll with a Free Tier

Kakitangan.com is a Malaysian cloud HR and payroll system operated by Coastal Hectare Sdn Bhd and selling to SMEs since 2015. It sells separate modules (E Payroll, E Leave, E Claim, E Attendance, which it calls Hadir, and HR Premium) on one login, priced in ringgit by headcount band.

E Payroll calculates EPF, SOCSO, PCB and EIS, generates EA Forms and Form E, and produces bank files for Malaysian banks. The smallest companies get payroll free for up to three employees, and a 50-person firm pays RM250 a month for E Payroll on monthly billing.

The verdict

Kakitangan is the tool I would point a Malaysian SME owner to when the goal is to stop doing EPF, SOCSO and PCB by hand and the budget is a few hundred ringgit a month. The module prices are public, the payroll tier is free for micro businesses, and you only pay for leave, claims or attendance if you switch them on.

Its limits are geography and scope. Statutory payroll is Malaysian only, and performance appraisal is handled through a collaboration with Mekari Talenta rather than a native module. A company with staff in Singapore as well should compare BrioHR, which covers both countries.

For a 20 to 300-person Malaysian business on a single entity, Kakitangan is priced where most competitors are not.

Where Kakitangan fits

Who it suits

Kakitangan fits Malaysian SMEs, from micro businesses with three staff to companies of around 400, that want statutory payroll done correctly and can add leave, claims and attendance later. Named customers range from small media and retail firms to Greenpeace Southeast Asia.

What it does differently

Price transparency at the small end is Kakitangan's edge. No other vendor in this group publishes a free payroll tier, and the per-band ringgit prices let a buyer cost the full bundle before speaking to sales. Its PDPA compliance is audited by BDO, which gives small firms an external reference on data handling.

How it gets bought

Kakitangan sells mostly self-serve, with a Try for Free sign-up, an online cost estimator and a sales call for larger firms. It also runs training, free HR document templates and an annual SME Growth Summit in Kuala Lumpur, which suits owners who handle HR themselves.

The site is available in English, Malay and Chinese, which helps family-owned SMEs where the owner, the bookkeeper and the staff do not all work in the same language.

Building a full bundle

A 50-person company taking E Payroll (RM250), E Leave (RM150), E Claim (RM80) and E Attendance (RM193) pays about RM673 a month on monthly billing. HR Premium, which adds document storage, e-signatures, audit trails and WhatsApp support, costs RM350 a month at 50 employees.

Billing terms

Payment is by bank transfer or Visa and Mastercard. Adding employees mid-way through a one-year subscription is pro-rated, and customers keep ownership of their data if they cancel.

Kakitangan pros and cons

Strengths

  • Free payroll for micro businesses

E Payroll costs nothing for up to 3 employees and RM50 a month up to 5, which is lower than any other published price in this group.

  • Modular pricing

Each module is priced separately by headcount band, so a company can start with payroll and add E Leave, E Claim or E Attendance only when needed.

  • Malaysian statutory and bank coverage

EPF, SOCSO, PCB and EIS calculations, EA Form and Form E generation, and support for all banks in Malaysia are part of E Payroll.

  • Accounting integration

Kakitangan integrates with Xero and other accounting software, so payroll journals reach the books without re-keying.

Limitations

  • Malaysia only

Statutory payroll covers Malaysia. Singapore CPF, Indonesian BPJS or Philippine SSS are not supported, so regional groups need another tool.

  • Performance appraisal is a partner product

Appraisals are offered through a collaboration with Mekari Talenta rather than inside Kakitangan, which means a second vendor relationship.

  • Audit trail and document storage cost extra

Profile edit history, employee document storage and e-signatures sit in HR Premium, which starts at RM100 a month and rises to RM1,250 a month at 400 employees on monthly billing. Companies that need an audit trail for compliance should include it in the budget from the start.

  • Enterprise buyers need a quote

Published bands stop at 400 employees. Larger companies go to a sales quote, where Kakitangan's price advantage is less clear.

Kakitangan is a Malaysian HR and payroll system that calculates and prepares EPF, SOCSO, PCB and EIS submissions. It sells separate modules (E Payroll, E Leave, E Claim, E Attendance) on one login, integrates with local banks and Xero, and says its PDPA compliance is audited by BDO. Its statutory coverage is Malaysian only.

Kakitangan buying motion: estimator and free trial

Kakitangan is built for owners and small HR teams who buy online. The pricing estimator does most of the work.

  1. Run the pricing estimator with your exact headcount and modules first, because the band you land in decides the price more than the module list.
  2. Choose yearly billing if headcount is stable, since the yearly rate is lower than twelve monthly payments in every band.
  3. Test an EPF, SOCSO, PCB and EIS calculation against last month's payroll during the free trial, because those four figures are what KWSP, PERKESO and LHDN will check.
  4. Ask how performance appraisal works through Mekari Talenta if you need it, because it is a separate product and contract.
